Sessions

The Sessions page lets you view all work records, apply filters, add manual time entries and edit past sessions.

What is a Session?

A session is a continuous block of work time that begins the moment an employee starts actively using the desktop application and ends when they close it — or when the system auto-closes it due to inactivity. An employee can have more than one session per day; for example if the app is reopened after lunch a new session starts.

Each session stores: start/end times, total duration, AFK time, break/meeting/lunch/call durations, session notes and screenshots.

Using the Sessions Page

1

Set Your Filters

Select a date range (start–end date) from the filter section at the top. Managers can pick a specific employee from the person selector; employees can only see their own sessions.

2

Switch the View

Turning on 'Group by employee' in the top-right collapses sessions into an accordion under each person. In this view you can see each employee's total time, first arrival/last departure and cumulative AFK at a glance.

3

Open Session Detail

Click the Detail button at the end of any session row. The panel that opens lists the app and URL breakdown, screenshots and AFK periods for that session.

4

Add Manual Time

Click the Add Time button in the top-right. Select the employee, enter a start and end time, add a note if needed and save. This action is available to managers only. The system will warn you if the selected employee already has an open session that overlaps.

5

Edit a Session

For completed sessions, click Edit to change the start/end times and notes. This is also manager-only. When you save, the system automatically trims any AFK or break records that fall outside the new boundaries.

🕐Real-World Scenario

Forgotten VPN Connection and Manual Time Entry

During his lunch break, Tom connects via VPN to handle an urgent task from home. He gets the work done but forgets to open the desktop tracking app. The time he worked never gets recorded.

Tom tells his manager Lisa. Lisa opens the Sessions page, clicks Add Time, selects Tom as the employee, enters 12:30 as the start time and 14:00 as the end time. In the note field she writes "Remote work — VPN, desktop app not opened" and saves.

The manual session now appears on Tom's Employee Detail calendar and in the monthly report. The 1.5 hours that looked missing are correctly accounted for.

⚠️Things to Watch Out For

  • Adding manual time while an active session is open: If the employee already has an open session and the time range you're adding overlaps, the system will warn you and reject the entry.
  • Why does the duration look negative? When start/end times are edited, AFK periods may fall outside the new boundaries. The system clips them automatically, but very old sessions may retain minor inconsistencies.
  • Overlapping sessions: Rarely, a technical issue can create two sessions for the same user that overlap in time. Use the "Merge Duplicate Sessions" tool on the Settings page to clean them up.
